The Senior Administrative Assistant will provide a wide range of advanced office support for senior managers in our Innovation Technology department. This can include meeting, event and travel management, as well providing backup support for the Executive Assistants of Management Committee members. 

  • Provide meeting/events management for the IT department, including any catering or other special requests if necessary;

  • Provide advanced support with Microsoft Office including presentations, spreadsheets and charts;

  • Provide travel management that offers itineraries attuned to the individual manager’s needs and preferences;

  • Complete and submit expense reports for the senior managers, ensuring compliance with Corporate expense policy and reconciles monthly statements;

  • Order technology equipment (laptops, desktops, monitors, etc.) for the new hires in the department;

  • Organizes, schedules, and manages monthly team building events or activities (our “Chief Morale Officer”);

  • Answers, screens, and transfers phone calls appropriately;

  • Maintains and replenishes office supply inventories as necessary;

  • Performs other general administrative duties and responsibilities as required.

 

What is necessary to be successful in this role

  • High School Diploma, GED/equivalent certification or equivalent military experience;

  • Minimum of four (4) years of experience supporting multiple managers in a department;

  • Advanced experience in Microsoft Office including Outlook, Word, PowerPoint, Excel, and Visio; experience with tools like pivot tables, presentation animation and formatting charts preferred;

  • Strong organizational skills and ability to multitask in a fast-paced environment with competing priorities;

  • Ability to manage expectations, informing stakeholders of potential delays due to conflicting priorities;

  • Can-do, proactive attitude that can mean making suggestions and giving options rather than waiting for answers;

  • Able to communicate clearly both verbally and in writing with all levels of an organization;

  • Proven experience working within a confidential setting.
