The Administrative Assistant will provide general administrative support for one of our Investment Sales teams in our Irvine, CA office.

 

DUTIES & RESPONSIBILITIES

  • Coordinate gathering of information from various resources and departments for creation of marketing materials, presentation proposals, and other documents;

  • Assist with the creation and completion of proposals and other industry marketing materials;

  • Provide support to advisor and support team as needed through close of escrow;

  • Submit requests for documents such as research reports, neighborhood data, historical and economic data;

  • Coordinate with the MaRC to ensure accurate, timely production and distribution of materials for each project;

  • Assist with required documentation and maintenance of necessary electronic files;

  • Compose miscellaneous real estate documentation including real estate listing agreements, receipt for commission funds, real estate purchase agreements, and supporting transaction data;

  • Provide administrative support for advisor including telephone/email communications, scheduling, processing incoming and outgoing mail, ordering office supplies, office equipment maintenance and operation, inventory control and file creation and maintenance - both electronic and hard copy;

  • May provide receptionist duties, including answering phones, greeting visitors, and accepting deliveries on behalf of assigned advisor;

  • Prepare client correspondence and other internal correspondence;

  • Complete monthly (or as needed) expense reports for advisor;

  • Other duties and responsibilities as required by business.

 

PROFESSIONAL EXPERIENCE / MINIMUM QUALIFICATIONS

  • High School Diploma, GED/equivalent certification or equivalent military experience; College degree in a related field preferred;

  • Minimum of one (1) year of professional experience, preferably in an administrative capacity;

  • Excellent computer skills, including mastery of Word, Excel and Outlook;

  • Experience in real estate a plus;

  • Ability to work with tight deadlines in a team environment;

  • Ability to multi-task and stay organized;

  • Possess a strong attention to detail;

  • Demonstrate excellent verbal and written communication skills;

  • Ability to thrive in a fast-paced environment;

  • Strong desire to be an integral part of a thriving team.
